Rebuilding an Employee Intranet with Clearer Navigation and Ownership

BACKGROUND

A title and escrow services company used its intranet to share company news, HR information, policies and frequently requested resources. Over time, the site became difficult to navigate and less reliable as a source of current information. Without clear content ownership, outdated pages remained in place. As employees struggled to find what they needed, they began looking elsewhere for updates.

 

THE CHALLENGE

The intranet’s dated design and unclear navigation made routine searches frustrating. Information was scattered across the site, and employees could not always tell whether a resource was still accurate.​ Refreshing the experience required more than a visual update. Years of neglected content had to be reviewed, the site needed a clearer structure, and a governance strategy had to be established.

 

THE OBJECTIVE

To make the intranet a dependable destination for employee information by improving navigation, updating content and establishing clear ownership for ongoing maintenance.

 

STRATEGIC APPROACH

The work began with a site audit to identify outdated material, structural issues and gaps in the employee experience. Those findings informed a redesign that aligned the intranet with the company’s visual identity and organized information around common employee needs. ​Navigation was simplified with clearly labeled areas for HR resources, company news and policies. Quick links brought frequently requested tools and information closer to the home page.

A dedicated content owner and regular update process were established to keep the refreshed site current after launch. The intranet was then reintroduced to employees as a central place to find reliable information.
